Privacy Policy

This is an English translation of our Política de Privacidad. In case of any discrepancy, the Spanish version prevails.

1. Who we are

This Privacy Policy describes how Velthor Tech (“Velthor”, “we”) collects, uses and protects the personal information of people who visit velthortech.com and use its meeting booking form. The processing of data in our platform for businesses (CRM, WhatsApp inbox and bot) is described in section 12.

Velthor Tech is a custom software development company based in Buenos Aires, Argentina. For any question about this policy or your personal data, write to us at [email protected].

2. What information we collect

We only collect the information needed to answer your inquiry and schedule a meeting. Specifically:

Data you provide. When you fill out the form to book a meeting, we collect:

  • First and last name.
  • Email address.
  • Phone number.
  • Company name (optional).
  • The message or notes you choose to include (optional).
  • The email addresses of additional guests you add to the meeting (optional). If you enter someone else's email, you are responsible for having their consent to do so.

Technical data. For security reasons and to prevent abuse of the form, we temporarily record your IP address, which we use to limit the number of bookings per period (rate limiting).

Advertising campaign measurement data. If you accepted advertising cookies, we also collect technical and browsing information (Meta Pixel cookies — _fbp and _fbc —, IP, browser identifier, site interaction events) that we send to Meta Platforms to measure the effectiveness of our advertising campaigns on Facebook and Instagram. This is detailed in the Cookies section below.

3. How we use your information

We use the data we collect to:

  • Create the meeting event and generate the Google Meet video call link.
  • Send you the calendar invitation and contact you regarding that meeting.
  • Answer your inquiries and prepare the discovery meeting.
  • Prevent abusive or fraudulent use of the form and keep the site secure.
  • Measure the effectiveness of our advertising campaigns on Facebook and Instagram, only if you accepted advertising cookies. The personal data (email, phone, name) we send to Meta for this purpose is hashed with SHA-256, so Meta can only use it to match your visit to an existing user of its own, not to identify you by itself.

We do not sell, rent or trade your personal data. We do not build our own advertising profiles with your information or share it with third parties other than those listed in section 5.

4. Use of Google APIs

To schedule meetings, our site integrates with Google Calendar and Google Meet through Google APIs. It is important that you understand how this integration works:

  • The integration accesses only a Google account owned by Velthor Tech, through OAuth 2.0 authorization. We create your meeting event on that account.
  • We do not access, read or store data from your Google account. The site does not ask you to sign in with Google or request permissions over your calendar, email or any other data in your account.
  • When you book a time slot, we create an event on Velthor's calendar with a Google Meet link and add you as a guest using the email you entered. Google then sends you the corresponding invitation.
Velthor Tech's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Who we share your information with

We only share data with the providers that make the site, the booking system and the measurement of our advertising campaigns work, and always limited to what is necessary:

  • Google LLC — to create the calendar event, the Google Meet video call and send the invitation. Governed by the Google Privacy Policy.
  • Meta Platforms Ireland Ltd. (Facebook / Instagram) — only if you accepted advertising cookies. We send it site interaction events (visit, booking started, booking confirmed) together with personal data hashed with SHA-256 (email, phone, name) and technical browser data (_fbp / _fbc cookies, IP, user agent). The goal is to measure whether our Facebook and Instagram campaigns actually generate discovery meetings. Meta may transfer this data to the United States under its cross-border agreements. Governed by the Meta Privacy Policy.
  • Vercel Inc. — hosting provider for the site. It processes requests transiently to serve pages and run the form. Governed by the Vercel Privacy Policy.

We may also disclose information if required by law or in response to a valid request from a competent authority.

6. Data retention

We keep the contact data you send us for as long as necessary to manage the meeting and follow up on your inquiry. The event remains on Velthor's calendar as part of the meeting history. The IP address used for abuse control is kept only temporarily and is discarded automatically.

You can ask us to delete your data at any time by writing to [email protected].

7. Security

We apply reasonable technical and organizational measures to protect your information: encrypted connections (HTTPS), restricted access to Google API credentials and validation of form data. No system is 100% infallible, but we work to minimize risks.

8. Your rights

Under Argentine Personal Data Protection Law No. 25,326, you have the right to access, rectify, update and request the deletion of your personal data. To exercise any of these rights, write to us at [email protected].

The Agency for Access to Public Information (Agencia de Acceso a la Información Pública), as the enforcement authority of Law No. 25,326, handles complaints and claims regarding non-compliance with personal data protection rules.

9. Cookies and similar technologies

We use cookies and similar technologies (including the browser's local storage), which we classify into the following categories:

Strictly necessary. They enable the basic operation of the site. They include a first-party cookie (velthor_consent_v1) where we store your cookie preferences so we don't ask you again on every visit. These cannot be disabled.

Advertising cookies and pixels — Meta Pixel. Only if you accept them, we load the Meta (Facebook / Instagram) pixel on the site. This pixel:

  • Sets two cookies in your browser: _fbp (an anonymous identifier Meta uses to associate your visit) and, if you arrived from an ad, _fbc (which contains the ad click identifier).
  • Records site interaction events (page viewed, booking form opened, booking confirmed) and sends them to Meta together with the hashed data described in section 5.
  • Works in two layers: a client-side one (the browser sends events directly to Meta) and a server-side one through Meta's Conversions API (our server sends the key events directly, which improves measurement accuracy and reduces loss from blockers).

The sole purpose is to measure the effectiveness of our advertising campaigns (knowing which ads led to actual meetings). We do not use this information for manual remarketing or to build advertising profiles outside Meta's ecosystem.

Your consent. The first time you visit the site we show you a notice where you can Accept all, allow Necessary only, or Customize preferences by category. Without your consent, we do not load the Meta pixel and we do not send data to Meta from your browser. You can change your choice at any time from the “Preferencias de cookies” (cookie preferences) link at the bottom of every page.

If you withdraw your consent, the existing measurement cookie remains until it naturally expires (12 months), but no new advertising events are generated from that moment on.

This policy is complemented by the Meta Privacy Policy and the Meta Cookies Policy, which govern how Meta processes the data received from our site.

10. Minors

The site and the booking service are intended for businesses and people over 18 years of age. We do not knowingly collect data from minors.

11. Changes to this policy

We may update this Privacy Policy to reflect changes in the service or in applicable regulations. When we do, we will update the “Last updated” date at the top of this page. We recommend reviewing it periodically.

12. Velthor Platform and WhatsApp Business

Scope. In addition to this website, Velthor Tech offers a software platform (CRM, WhatsApp inbox and automated reply bot) to businesses that connect their WhatsApp Business account. In that service, Velthor acts as a data processor on behalf of each client business, which is the data controller with respect to its own customers.

Data we process. When a person messages a business that uses the platform on WhatsApp, or the business messages that person, we process:

  • Phone number and WhatsApp profile name.
  • Message content: text, audio, images and files.
  • Message delivery and read statuses.
  • The business's message templates.
  • WhatsApp Business account data we receive from Meta.

How we use it. Only to provide the service to the business: showing conversations to its agents, sending and receiving messages, managing templates and, if the business enables it, sending automated replies with the bot. We do not use this data for advertising and we do not sell it.

Artificial intelligence. Message content may be processed by AI providers: currently Anthropic, PBC, for conversation summaries, suggested replies and automated replies, and Groq, Inc., for audio transcription. Both act as data processors and, under their commercial terms, do not use this data to train their models. Suggested replies are never sent automatically: an agent reviews them before sending.

Processors and international transfers. To provide the service we use the following providers, which may process data outside Argentina:

  • Hostinger International Ltd. — servers hosting the platform and its databases (Brazil).
  • Cloudflare, Inc. — network and security (United States).
  • Anthropic, PBC — AI summaries, suggestions and automated replies (United States).
  • Groq, Inc. — audio transcription (United States, Canada, Saudi Arabia, Finland and Australia).
  • Meta Platforms — WhatsApp Business API, through which messages are transmitted.

Security. Data is stored on the platform's own servers. Message content and profile names are stored encrypted (AES-256-GCM), all connections use HTTPS and agent access is restricted by roles and permissions.

Retention and deletion. We keep the data for as long as the client business keeps the service. We delete it at the request of the business, or of the data subject through the business, by writing to [email protected].

Requests from authorities. When a public authority requests this data, Velthor reviews the legality of the request, discloses only the minimum information necessary and documents each request and its response.

13. Contact
